Multi-state remittance with Avalara, TaxJar, and Vertex
What a sales-tax engine does when you are registered in several states, what stays your responsibility, and how a basic invoicing tool fits alongside one.
Once you owe sales tax in several states, each with its own return, due dates, and rate tables, doing it by hand gets hard. Sales-tax software such as Avalara, TaxJar, and Vertex is built for that. Typically it looks up the rate for the customer's location, records each transaction, and prepares or files state returns. Some tools also alert you when your sales approach a state's threshold. Pricing, coverage, and features differ by provider and change over time, so compare them directly. You remain responsible for registering, for the accuracy of your data, and for paying. 4invoices is not a tax engine and does not connect to these services. It creates the invoice with the tax rate you enter on each line.
- Tax engines look up rates, record transactions, and can prepare state returns.
- You still register with each state and remain responsible for the tax.
- Features, coverage, and pricing differ by provider; compare them directly.
- 4invoices does not integrate with any tax engine.
How it works
Register first. Each state issues its own sales tax permit and tells you how often to file. A tax engine works under permits you already hold.
Set up products and customers. A tax engine needs to know what you sell and where your customers are, so it can apply the right taxability and location rules.
Feed it your transactions. Depending on the provider, transactions are sent through an integration or uploaded. Ask the provider which invoicing systems it supports.
Review the returns. The provider prepares the state returns from your data. Someone in your business should review the totals before they are filed.
Keep records. Save invoices, exemption certificates, and filing confirmations. A state auditor may ask for them.

Frequently asked questions
What does a tax engine cost?
Pricing varies by provider, volume, and number of states. Ask each provider for a current quote and compare it against the time you spend today.
Do I still need to register in each state if I use a tax engine?
Yes. The state issues the permit to your business, and the engine files under it. Some providers offer registration help, but you remain the registrant.
What happens in a state audit?
The state may ask for your invoices, exemption certificates, and records of how each rate was chosen. Keep them organized for the period the state requires.
Can 4invoices replace a tax engine or connect to one?
No. 4invoices creates invoices with a tax rate per line, any currency with an exchange rate, and a PDF download. It has no connection to Avalara, TaxJar, Vertex, or any other engine, and it does not file returns or remit tax. If you need one, keep using your tax engine and use 4invoices only for the invoice document.
