Missing HMRC-required fields when audited

VAT invoices have a legally-required minimum field list. Our templates include every one of them and don't let you remove them. The supplier's VAT registration number, customer's VAT number if applicable, time of supply (tax point), description of goods/services, rate and amount of VAT charged — all present, all in the right positions on the page.

Big corporate customers want a PDF attached to an email. Small businesses want a payment link they can tap on their phone. What makes an invoice template compliant in the UK

HMRC publishes the required content of a VAT invoice in VAT Notice 700/21 (sections 16 to 18). It's a definitive list, not a suggestion. Every one of our templates includes the required fields and labels them correctly using HMRC's preferred terminology — 'VAT invoice' (not 'tax invoice' which is US English), 'Total inc. VAT' (not 'amount due'), 'Tax point' (the supply date, distinct from the issue date when they differ).

Beyond compliance, design choices matter. The customer's name and address appear at the top in the addressee position (not in a side panel) so the invoice prints with a window envelope. The total payable is highlighted distinctly — bold, larger type, not buried in a column. Payment terms appear directly below the total, not on a separate page. Your VAT registration number sits at the bottom in the supplier block, which is where HMRC inspectors look for it during compliance checks.

We support both VAT invoices (for VAT-registered businesses) and simplified invoices (for retail transactions up to £250). Modified invoices for businesses dealing with both standard and exempt supplies are also supported. The template adapts based on your registration status — set in your account once, applied everywhere automatically.

Can I add custom fields to the invoice?

Yes. PO number, customer reference, project code, delivery note number — custom fields can be added per customer or per invoice. They display in the appropriate position (top for references, bottom for notes) and remain searchable in the dashboard.

Do templates support both VAT-registered and non-registered businesses?

Yes. If you're not VAT-registered (under £90,000 turnover), the template hides VAT lines and the 'Total inc. VAT' line — just the net amount, properly labelled, with no VAT-related fields the customer would query.

Can I issue an invoice in a different language?

Yes. The HMRC fields can be labelled in English and a second language side-by-side. Common for businesses that export to French, German or Spanish customers — they get an invoice in their language with the legal compliance still in English.
